Peterson has an immediate need for an experienced Receptionist at our Portland, OR location initially but transitioning to our new Hillsboro location within six months.  The person in the position receives customer phone communication, walk-in customers and visitors, and directs them to the appropriate department and/or person in a professional and timely manner.  Provides administrative and clerical support to other departments, including Service and Sales as directed by needs of these groups.

Responsibilities

Reception / Front Desk Duties:

  • Treat all internal and external customers with courtesy and respect.
  • Use professional terminology and tone to communicate with internal and external customers.
  • Keep updated on department and personnel changes to minimize customer frustrations and to direct customers and callers swiftly to the correct person the first time.
  • Communicate with site personnel to keep updated on who is on site during the workday.
  • Answer all incoming calls at switchboard, directing to the appropriate person, taking messages, and/or transferring to requested person or department.
  • Greet all visiting customers and direct them to the appropriate person or department based on their needs. Keep daily sign-in register / log.
  • Order and maintain inventory and appropriate stock level for office and other meeting supplies as assigned.
  • Run daily/weekly errands based on store needs, and at manager’s request.
  • Maintains punctual, regular, and predictable attendance.  

Mail Room Duties:

  • Sort and process incoming and outgoing mail on a daily basis.
  • Occasionally go to post office when Portland Shuttle Driver is unavailable to pick up morning mail and deliver afternoon mail. 

Meeting Coordination 

  • Provide meeting coordination by:
  • Scheduling meeting rooms as requested.
  • Coordinating meeting needs with Host, sending Meeting Checklist to requesting managers for meeting details.
  • Providing Meeting Room Set up (coordination with Facilities group).
  • Keeping basic inventory of supplies on hand for meetings.
  • Prepare meeting rooms (straightening up and cleaning table to arranging for meeting room set up with Facilities) 

OTHER DUTIES AND RESPONSIBILITIES:

  • Special projects for other departments as requested, and as time allows.
  • Other duties as assigned by the supervisor.
  • Works collaboratively in a team environment with a spirit of cooperation.
  • Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with customers/ coworkers, including the ability to communicate effectively and remain calm and courteous under pressure.
  • Respectfully takes direction from supervisor/ manager.
  • Displays Competency and skill set needed to work in Excel

Qualifications

High school diploma or equivalent degree or experience; previous reception and clerical experience helpful.
